Planning your event and staying organized. You may book your venue as early as a year ahead or more and that is a great accomplishment and a fabulous start. After that, setting a timeline to help you get organized is a great idea. You could use a spreadsheet, a notebook or even an online application to get organized. After your venue is booked creating a detailed guest list is probably your next step. Make a list of everyone you’d like to invite to your party so you can assess your total possible number of guests. Be sure to gather all their addresses, email and even mobile numbers if possible. Be sure your venue can accommodate the number of guests you wish to invite. At Space we can accommodate up to 350 guests. Depending on the type of event you should discuss a theme with your venue. Here are some other details to consider, how will your guests get to the venue and do you need to offer transportation, depending on the time of year of your event should you send out a save the date, how much in advance? At Space, we recommend you send out your save the date as early as six months ahead of your event especially if you have guests traveling from far away so you give them time to make arrangements. Invitations should go out between 6¬8 weeks ahead of your event. At Space, about 4 weeks before your event you will receive forms to fill out for the MC/DJ about the type of music you would like and the layout of your event. Your event manager will go through your menu and timeline of the event as well as answer any and all questions regarding your special day. The final two weeks prior to your event you will finalize your guest list and begin to work on seating, deliver any items like favors to the venue and firm up any last minute details.
